RenTime — Privacy Policy

RenTime is an internal workforce application operated by ZoomArts for the management of lighting and audio-visual rental equipment. It is intended for use by authorised staff and crew members only. This policy explains what personal information the app collects, why, and who it is shared with.

In short: RenTime collects only what it needs to sign you in and to run the warehouse workflows. There is no advertising, no analytics tracking, no profiling, and your information is never sold or shared with data brokers.

Access is restricted

Creating an account does not grant access. Every new account must be approved by an administrator before any warehouse data becomes visible. Unapproved accounts can reach nothing beyond the pending-approval screen.

Information we collect

Mobile phone number To sign you in by SMS verification code, and to identify your account. Collected only if you choose the phone sign-in method.
Email address To sign you in by emailed sign-in link, and to identify your account. Collected only if you choose the email sign-in method.
Display name To show who submitted an equipment request or a workshop entry, so colleagues and administrators know who to ask about it.
Push notification token To deliver notifications to your device — for example when your account is approved or when a spare part you ordered arrives.
Photographs you upload To document equipment condition and repairs in the workshop records. Only images you deliberately attach are uploaded.
Content you enter Equipment requests, repair notes and workshop orders you create in the course of your work.

RenTime does not collect location data, contacts, calendars, health data, browsing history, or advertising identifiers. It contains no advertising or analytics software.

How your information is used

Your information is not used for advertising, marketing, profiling, or automated decision-making, and it is not used to build a profile of you across other apps or websites.

Who your information is shared with

Other authorised users. Your display name appears alongside requests and workshop entries you create, so that colleagues and administrators can see who raised them. Administrators can additionally see the account list, including the phone number or email address registered to each account, in order to approve or remove access.

Google Firebase. Authentication, database, file storage and notification delivery are provided by Google Firebase, which processes and stores this information on our behalf. See the Firebase Privacy and Security notice.

Apple. Push notifications are delivered through the Apple Push Notification service.

Rentman. RenTime reads rental and equipment records from Rentman, our rental management system. This connection is read-only — no personal information about you is sent to Rentman by this app.

We do not sell your personal information, and we do not share it with data brokers or advertising networks.

Where information is stored

Information is stored on Google Firebase infrastructure and may be processed on servers outside your country of residence. All communication between the app and our services is encrypted in transit using standard TLS.

How long it is kept

Account information is retained for as long as your account remains active. Work records — equipment requests, workshop orders and their attached photographs — are retained as business records for as long as they remain operationally relevant. If your account is removed, the work records you created may be retained, since they document warehouse activity rather than describing you.

Children

RenTime is a workplace tool intended for adults. It is not directed at children and we do not knowingly collect information from anyone under 16.

Security

Access to warehouse data requires both a verified sign-in and administrator approval. Server-side security rules enforce these restrictions, so an unapproved or unauthenticated device cannot read or write warehouse data. Data is encrypted in transit.

Changes to this policy

If this policy changes materially, we will update the date at the top of this page and, where appropriate, notify users within the app.
